The trick is to keep e-mail from over running your time. <br /><br /> What to do? <br /><br /> I have set up different e-<a href="http://www.artwoo.com/tag/mail+accounts" rel="tag">mail accounts</a> for different needs. I have one that is only for non-business related items. This e-mail address is the one that I give friends and family members to use. I know what they send me is not going to be time sensitive. I f something important happens or needs immediate attention they will call on the phone. <br /><br /> I also have an e-mail account for work related items. This one I use for an overall catchall for my business. I will also set up special e-mail account for specific projects that I'm working on. That way I know what they are responding to and for. What reason. I have an account that I use when I respond to special offers or e-newsletters. This way I keep e-mail separated and more manageable. <br /><br /> Use "Preferences" to manage each account. <br /><br /> Now put technology to work for you. Go into the "preferences" or "set-up" for each account. And apply the "junk-mail" settings and other filters that will help cut down on unnecessary e-mail. Check out all the tools, many can make managing your account easer. One more trick is to turn off any audio notification that you have <a href="http://www.artwoo.com/tag/new+mail" rel="tag">new mail</a>. It is just a distraction that will make you want to check it now. <br /><br /> Time management for e-mail. <br /><br /> One way I make the best of my time is to devote specific times and amounts of time to read and respond to e-mails. <br /><br /> I divide the workday into three times to address my e-mail. I will check it first in the morning when I start my day. <br /><br /> Then midday and then at the end of my workday, I will look at it again. <br /><br /> I devote fifteen minutes to a half hour to each time. I stay on schedule; if I don't it will just through off my other tasks that need to be done. <br /><br /> My 3 "Ds" To decision making. <br /><br /> Delete it: You know within three seconds if you need to respond to e-mail. Don't linger over it Delete It. <br /><br /> Do it now: If you need to respond to it, do it right away. Don't wait that just puts the work off and you may not get back to it until it's too late. <br /><br /> Defer it: If the task takes to long to address it right away defer it. A good way is to use a folder within your e-mail account. Do you wonder if there could ever be a way to get out from under it all--or at least feel in control?<br><br>Here are a few ideas that should help you.<br><br>1.) Make a list of all the items you need to do. Put them in order of priority with the most important items first. If there are items with consequences involved, they should be on the top of the list.<br><br>2.) It helps to type the list up in a <a href="http://www.artwoo.com/tag/word+processing" rel="tag">word processing</a> document so that it is easy to reorganize the list keeping the <a href="http://www.artwoo.com/tag/top+priority" rel="tag">top priority</a> items first.<br><br>3.) Keep your attention and efforts on the top priority items at all times. Any time you are able, carve out several hours or several days where you can handle as many annoying items on the list as you can. Are you a compulsive volunteer and keep committing yourself to doing more things to help others out? Give serious consideration to taking a hiatus from volunteering. Yes, there will be a strong pull to "help out". Before you automatically say, "yes", give yourself an "out". Give yourself time to consider it further. Take a look at your current list of commitments and To Do's. Think long and hard before taking on something else.<br><br>11.) Review your list and eliminate anything that is simply a time waster. This could be a perfectionistic need or simply something that's been on the list so long that it's become pointless. This is one of the best and simplest ways to cut the list down.<br><br>12.) Realize it will never all get done. There will always be a long list--as long as you are an active and vital person. Change the objective to enjoying your life rather than completing the list. Completing the list is as pointless as a dog chasing its own tail. Even if you could succeed, so what? The list will soon grow again.<br><br>Staying focused on your top priorities will always give you the feeling of getting a lot done. If possible use a rag for mopping to make clean up easier. <br /><br /> Lastly if possible hook up a rain barrel to your eaves trough. By catching rainfall before it hits the ground, you can greatly reduce runoff, yet attain. Even temporarily storing rain in a barrel until after a storm lets up, reduces erosion. Newer rain barrels are designed to keep out mosses so the water will not become a breeding pool for them. <br /><br /> In addition of course you have a ready source of the softest water you can find =96 great for washing your hair, for dishes, and for general water and washing uses. <br /><br /> We all want to be respectful of the bounty of mother earth.     <content:encoded><![CDATA[If you are like me, you've often wished there were 48 hours in a day instead of just 24. There never seems to be enough time to get everything done that you want. Since we just have about 16 hours a day not counting sleep time, it's important how we use the time we have. <br /><br /> On the average, people waste about 2 hours a day. This is mainly from poor planning. If a person is unorganized, they waste time trying to find things, they miss appointments, they only do one thing at a time when they could be doing two. <br /><br /> Good time management is a major building block to success. Oftentimes, it's not how much time we spend working but how efficiently we do the work. The key to successful time management is careful planning and <a href="http://www.artwoo.com/tag/setting+priorities" rel="tag">setting priorities</a>. <br /><br /> Plan your day, your week, and your month in advance. Know when things need to be done. A great way to "buy time" is to multi-task. Do more than one thing at a time. There are many things that do not require concentrated mental effort. These are more easily combined. <br /><br /> "Failing to plan is planning to fail," <br /><br /> - unknown <br /><br /> Even though I am a big pro <a href="http://www.artwoo.com/tag/football+fan" rel="tag">football fan</a>, I can't justify sitting down and spending three hours watching a <a href="http://www.artwoo.com/tag/game" rel="tag">game</a>. I have to be doing other things while I do it. Thank goodness for <a href="http://www.artwoo.com/tag/instant+replay" rel="tag">instant replay</a>! I've found this is a good time to spend icing injuries or some other busy work. I can also record the games and watch them while exercising. I exercise about 30 minutes a day so during the <a href="http://www.artwoo.com/tag/football+season" rel="tag">football season</a> I can watch a game during the week without wasting any time doing it. <br /><br /> When you run errands try to do as many as you can on one trip. If you are self-employed, you can combine <a href="http://www.artwoo.com/tag/personal+errands" rel="tag">personal errands</a> that are on the way to a business errand and have the mileage written off as a business expense. <br /><br /> I've been fortunate to have been able to work at home for the past ten years. It's been great because I hate to waste time commuting. If you must commute, you can use the time to listen to audio self-improvement tapes, audio books or anything educational. <br /><br /> If you are a regular exerciser and belong to a gym, think about working out at home. If you lack the space and money for exercise equipment, try traditional body weight exercises. A little research on the Internet can show you websites devoted to this subject. Even though I lifted weights for 20 years, I've converted to body weight exercises. I've found they feel better and get the same if not better results. Of course, if you go to the gym to socialize or network, that's okay. You're doing more than one thing at a time. You can go walking with your wife. That way you're getting exercise and husband / wife interaction at the same time. <br /><br /> Setting priorities enables you to get the most important things done. Keep you eye on the big picture. Don't let low priority things bump off the higher priority tasks from your schedule. If you've only got so much time, it's imperative you spend your time doing the things that bring you the most benefit. <br /><br /> "Things which matter most must never be at the mercy of things which matter least." <br /><br /> -- Goethe <br /><br /> Time is so precious. If you want to be successful in life you need to be spending more time being productive and doing things that are moving you forward. Spending hours a day watching TV, playing computer games, or surfing the Internet is not productive time usage. We all need downtime but you need to determine how much is really necessary.     <content:encoded><![CDATA[ We are all subjected to the <a href="http://www.artwoo.com/tag/tyranny+of+the+urgent" rel="tag">tyranny of the urgent</a> =96 those quick questions, phone calls, <a href="http://www.artwoo.com/tag/email" rel="tag">email</a>, and other <a href="http://www.artwoo.com/tag/interruptions" rel="tag">interruptions</a> that have to handled. Several days may pass, and then we look back and wonder what happened to that time. We've been pumped up and running on adrenaline, yet we still haven't accomplished the projects on our To Do list - those items that are "important" for developing our business rather than just the "urgent" immediate requests. Interruptions caused by this tyranny of the urgent can be the biggest time-waster in our day. <br /><br /> Studies show that we can be four times more efficient when we work on one type of activity at a time than when we switch back and forth from one thing to another. To take advantage of this method of efficiency, <a href="http://www.artwoo.com/tag/schedule+blocks" rel="tag">schedule blocks</a> of time each day so that the primary causes of interruptions are grouped together.<br /><br /><br /><br /> What activities are effective when grouped? <br /><br /> - Telephone: Plan for a block of time in your daily schedule when you will make and return phone calls. This doesn't mean that you don't accept an urgent, unexpected call, but work toward keeping the routine calls in your <a href="http://www.artwoo.com/tag/time+block" rel="tag">time block</a>. If you have an assistant, train that person to take a message and let the caller know what time you will be returning the call.<br /><br /><br /><br /> - Voice Mail: Many of us don't like voice mail, but it can be a powerful tool, especially if you work alone. Let the voice mail take the messages that don't fall into your telephone time block. The <a href="http://www.artwoo.com/tag/voice+mail+message" rel="tag">voice mail message</a> can state that you will return calls between 10 a.m. and 11 a.m., and then between 3 p.m. and 4 p.m., or however your schedule is set up for that day. Your telephone block can vary from day to day. Just be sure your voice mail message reflects the changes. Resist the temptation to check your voice mail after the phone has picked up the message. Again, use a time block for checking your messages just before your telephone calling starts. Otherwise you're still letting the telephone interrupt you. <br /><br /> - Email: It is very easy to allow email to dominate our time, especially if we are working close to our computer. That "You've Got Mail" message, whether verbal or just sound, is hard to ignore. Even stopping to take a quick look to see who it is from becomes an interruption. You've lost time working on the project you were involved in because it takes more minutes to get back into focus and regain your train of thought. Turn off the sound that alerts you to every message coming in. Just as with telephone calls, set blocks of time each day where you will deal with all the email messages together.<br /><br /><br /><br /> - Bill Paying: Whether dealing with personal bills at home, or with office matters, it is not efficient to stop and write checks every day or two. I've even seen people write them as they come in because they are afraid that otherwise the bills will get lost, or they will forget. Those are situations where other assistance is needing in setting up a system to manage papers. Again, group your bill paying and other accounting activities together for once a week or for every other week, depending on volume.<br /><br /><br /><br /> - More: Consider the other tasks that occur frequently throughout your week. Which similar activities can you group?  <br /><br /> It will take time to get used to controlling interruptions rather than allowing those constant interruptions throughout your day to control you.
