In view of temporal character of a project, Project Manager should be very mobile. In addition, he shouldn't cling to his place at a project and be ready to be "out of work" at least until the start of a new project. On the other hand, Project Manager should be passionate about his project activities and reaching <a href="http://www.artwoo.com/tag/project+goals" rel="tag">project goals</a>. The unique character of a project requires from the person to be a master of many disciplines, in contrast to a manager of <a href="http://www.artwoo.com/tag/functional+organization" rel="tag">functional organization</a> who can be a specialist of the one and only sphere of knowledge. Obviously, for difficult projects the demands are rather high and diverse and one person can't be a professional in all the spheres. The solution is to form a project team which includes professionals of varied branches of knowledge. This team, apart from doing project activity, should execute the function of "incubator", selecting future leaders and <a href="http://www.artwoo.com/tag/project+managers" rel="tag">project managers</a>. Consequently, we should take into account one more specific feature of project activity -- team work. A project is implemented by a temporary team of co-workers and a manager should be effective in managing such a temporal formation. This is a one more essential difference between project manager and functional manager.     <content:encoded><![CDATA[ When I tell people that I'm a <a href="http://www.artwoo.com/tag/project+manager" rel="tag">Project Manager</a>, I often get an initial "Oh....neat!" response which is usually followed by a comment that is something along the lines of "So....what exactly do you do?" Occasionally if I'm speaking with a Software Developer I may get a mild <a href="http://www.artwoo.com/tag/snarl" rel="tag">snarl</a>, a clear sign they've had experience working with a poor project manager; a topic I will address in future articles. <br /><br /> What this tells me is that not only is there a ways to go before the practice of Project Management is understood; but even further to go before it is valued more widely than it is now. For how can something be properly valued if it isn't truly understood? <br /><br /> This is of course not to say that the practice of Project Management isn't widely appreciated in many organizations. Indeed, a large number of companies have implemented Project Management Offices, the <a href="http://www.artwoo.com/tag/project+management+institute" rel="tag">Project Management Institute</a> is exploding in popularity, and it certainly seems that the number of Project Management openings out-numbers the supply of <a href="http://www.artwoo.com/tag/project+managers" rel="tag">Project Managers</a>. However, it is often times larger organizations that have adopted this practice, and in an economy where just under half of the work-force is employed by <a href="http://www.artwoo.com/tag/small+businesses" rel="tag">small businesses</a> there are a significant number of organizations that have never used Project Managers, and even more employees that have never worked with a Project Manager. <a href="http://www.artwoo.com/tag/ironically" rel="tag">Ironically</a>, it is small businesses that could quickly and painlessly reap the benefits of Project Management. <br /><br /> So what exactly is Project Management an what does a Project Manager do? According to the Project Management Institute (<a href="http://www.artwoo.com/tag/pmi" rel="tag">PMI</a>) "a project is a unique temporary endeavor, with a set beginning and end." and that "More formally, PMI defines project management as 'the application of knowledge, skills, tools and techniques to a broad range of activities in order to meet the requirements of a particular project.'" This second part may not tell you much without diving further into the subject; but let's focus on the former for now. In order to understand Project Management, it is critically important to understand that a project is a unique, temporary endeavor with a specific objective. Project Management is not Operations. And while a specific operational objective may be a project, and a project upon completion may be handed over to operations, the two are distinctly different. <br /><br /> Now that we're clear on what a Project is, we can move onto the more formal definition quoted above. Essentially, this is saying that Project Management is the methodology used to achieve the objective of a project. Therefore, a Project Manager is someone that has the necessary "knowledge, skills, tools, and techniques" to manage a unique endeavor and ensure that it meets it's objectives. <br /><br /> Even knowing all this, it still may not be clear to you what exactly a Project Manager does. A project manager is a little like the manager of a baseball team. They make sure that the objective is clear, that it is understood by everyone on the team, that all parties (stakeholders) have had input into the project, that all the required work is understood, that each team member knows what they are responsible for, ensures that risks are identified and contingency plans have been created, verifies that all work is being completed on schedule, etc, etc, etc. The list of course goes on and on. The reason I like using the analogy of the baseball manager though is because when some people hear what a Project Manager does, they feel they shouldn't even need a project manager. They initially think that if everyone on their team did their job the project would be successfully completed even in the absence of a Project Manager. This can only be true however in the same way that a baseball team doesn't need a manager to play a baseball game. It could be done, and they might even win some games, but they won't win the World Series. The same is true with projects. In the absence of a Project Manager there are certainly some items that will be accomplished; it is certain however that there will be delays, cost overruns, quality will suffer, and that the end result may be quite different than what the project called for. You will need sufficient time to enable you to accomplish your objectives without sacrificing quality, and yet speedily enough without having to sacrifice quality. Nobody, of course, will want to invest in a project that takes too long to complete.<br><br>Time<br><br>There are several techniques by which to estimate time periods. Essentially, most of these techniques involve the breaking down of specific or particular tasks into smaller <a href="http://www.artwoo.com/tag/manageable+units" rel="tag">manageable units</a> and assigning a time period for their completion.<br><br>This <a href="http://www.artwoo.com/tag/time+estimation" rel="tag">time estimation</a>, however, must take into consideration the resources available to you like people, equipment and materials. A general leeway for unexpected events such as people calling in sick or deliverables not being delivered on time should be at hand.<br><br>Once you are able to breakdown the project into <a href="http://www.artwoo.com/tag/manageable+tasks" rel="tag">manageable tasks</a>, it is easy enough to create specific timelines for each task. This can help ensure that the project is being performed on time, according to the gradual performance of each particular stage involved.<br><br>Taken together, the total <a href="http://www.artwoo.com/tag/time+constraints" rel="tag">time constraints</a> can give a general idea of the entire duration of the project. Thus, you can reasonably estimate when a project might be completed and whether expenses might shoot up in the meantime or whether the project itself is still a feasible undertaking years later when it is finally completed.<br><br>Scope<br><br>This is the broad overview of what the entire project seeks to accomplish. While mainly it refers to the project itself, an often overlooked factor is the quality of the end-product, considering all the other resources that have been invested into it, such as time, money, equipments and people skills.<br><br>Hence, given a particular time period, it is perhaps better to shoot for a more reasonable target or goal. Although this might mean a greatly diminished scope of the project, if it is the best that can be done given all the other factors, then it would be best to adjust accordingly. No big project that takes so much to bring to completion should needlessly compromise what could otherwise be superior quality. In fact, exceptional quality in the end result could be the proper justification for all the time and effort put into it in the first place.<br><br>Identify the risk factors<br><br>Part of good project management is the ability to adapt to changing circumstances over the time period within which the project is being completed. This means being able to forecast or predict sudden changes -- either in the market, in the social and political landscape, and even natural and environmental factors that might adversely affect the project's completion.<br><br>Hence, if for example the rainy season is coming up, be sure to factor in the reality that some days might not be especially fruitful for a construction project, for instance. For example, the installation of a new computerised accounting system would (or should) be managed as a project; the design and build of a new aircraft would be managed as a project; a major restructuring of a company or organisation should be managed as a project. <br /><br /> Before I had my own business, I was involved in project management in some quite different types of projects. Those experiences were <a href="http://www.artwoo.com/tag/invaluable" rel="tag">invaluable</a>, with each project being quite complex in its own right, and affecting many people in many departments and disciplines. Their daily working lives were to change; their working practices were to be changed. As well as the <a href="http://www.artwoo.com/tag/technical" rel="tag">technical</a>, administrative, organisational, financial and practical aspects of each project, change itself had to be managed. <br /><br /> One thing that is always present in any project is the <a href="http://www.artwoo.com/tag/personal+element" rel="tag">personal element</a>. The successful outcome of a project does not only <a href="http://www.artwoo.com/tag/depend" rel="tag">depend</a> on the planning and implementation of the <a href="http://www.artwoo.com/tag/project+detail" rel="tag">project detail</a>. It will always depend on the people affected and the people on the project team; how those two sets of people interact is also critical, and especially how the project team will deal with concerns, or even outright opposition, of the individuals, or groups of individuals, who will be directly affected by the project on completion. <br /><br /> >From observation and experience, if the "people element" of a project is not managed well, the project is at risk of delay or even total failure. So, the people affected do have to be embraced as an integral part of the project. For this reason, I would spend as much time, as a project leader, in dealing with the personnel to be affected by the project's implementation, as I would with <a href="http://www.artwoo.com/tag/team+members" rel="tag">team members</a>, and technical and planning issues. <br /><br /> It is because of this experience that I have got used to the idea of project management, and individuals affected, being closely related. I then began to wonder whether, in a non-project situation, individuals could make use of project management techniques and principles, to manage key aspects of their personal lives. <br /><br /> My thoughts turned to personal success: if an ambitious person had a vision of success, could they not take that vision, treat it as a project, plan what is needed to achieve that vision, and then implement that project much the same way a company would with a project to install a new computer system? After all, a new computer system started out as a vision of someone within that company or organisation. <br /><br /> At the very least, some lessons from project management may be of help to an individual who has a desire to succeed, whatever that success might entail. The route to that ultimate success can be broken down into different elements, much as the installation of a new computer system can.
